Generative artificial intelligence: Use at University

Seek permission before using GenAI

Always seek the permission of your lecturer, tutor, supervisor, or course/unit coordinator before using GenAI in any capacity in your assessments, thesis, teaching, and work in general.

When to declare or acknowledge the indirect use of GenAI

  • Acknowledge in a declaration statement after your reference or works cited list.
  • Direct use of GenAI output is discussed in the referencing direct Gen AI use tab.

  • Themes, ideas, arguments, writing process, etc.
  • Research aims, question/s, methodology, theoretical framework, etc.
  • Assessment structure or layout
  • Literature search
  • Data or thematic analysis, and visualisation.
  • Interpreting or discussing the findings.
  • Generating ideas for essay structure or topics, lesson plans, marking rubrics, frameworks, etc.
  • Grammatical and spelling checks.
  • Refine structure, layout, ideas or arguments, etc.
  • General suggestions for improvement.
  • English is a second language where you write the assessment in your native tongue, and then translate your writing into English.
  • Localising or contextualising language to suit current situations.
  • Correction or suggestions for improvement

Declaration template

A declaration statement acknowledges the use of AI in your assessment or research to demonstrate academic honesty and transparency. You can add any declarations after your reference or works cited list. The following details should be included:

  • the name and URL of the GenAI tool used
  • why and how you have used or modified GenAI output
  • prompts used
  • transcript of your session

Save a copy of the conversation/transcript with the GenAI tool in a Word document in case you are asked to provide a copy.

I acknowledge the use of CoPilot during the preparation of this assessment/research to brainstorm ideas for the development of activities for the oral presentation. 

I entered the following prompt:

  • Suggest some ideas for activities that can be used in my oral presentation that will encourage audience participation. My topic is caring for elderly patients with diabetes.

I modified the ideas generated to align more directly with the topic of my presentation and the time available for activities. 

I acknowledge the use of ChatGPT3 to edit my final draft for grammar, spelling, and clarity.

I entered the following prompts:

  • Make suggestions for clarity in my writing. Check for grammar and spelling errors. Do not correct my writing.

I critically evaluated the suggestions and modified them to make sure that my final draft was still my work.

Suggest some topics to consider when writing about vaping and teenagers.

I  critically evaluated the suggestions and modified them to better suit the marking rubric for this essay. I chose the most relevant ideas to explore in more depth in scholarly literature, for example, books and peer-reviewed journal articles.
